YOUR ROLE AT ICHI

The role of the Head of Production is key in supporting the Managing Director to grow the business through high quality profitable creative execution whilst also overseeing the daily activities of the company, showing a commitment to productivity and compliance ensuring that the company runs successfully, cost-efficiently and is able to deliver projects in a timely manner.

The Head of Production has overall responsibility for managing and growing the production department and repeat client accounts. They define and establish clear and consistent processes to monitor, support and report on the progress / successful completion of project work. They are responsible for profit and loss, growing the business (client accounts and revenue) within the bounds of the existing work streams.

The Head of Production works with the executive team to set strategic operational goals for the agency which support the overall business strategy. The Head of Production then plans and monitors the day-to-day activities to action these goals, supervising staff in different departments and providing them constructive feedback when required.

The role requires strong communication and organisational skills. You need to have a keen eye for detail and the flexibility to pivot depending on the changing nature of the business / staff / problems that are escalated to you.

The Head of Production has outstanding customer service, fantastic interpersonal skills, they are reliable, enjoy challenging / fast-paced work and are extremely motivated whilst maintaining strong leadership skills. You will inspire an atmosphere of best practice sharing amongst the team, ensure high standards of professionalism and customer services are adhered to and maintain a positive culture at ICHI which encourages staff retention and loyalty.

THE NUTS AND BOLTS
PRODUCTION RESPONSIBILITIES

●     Overseeing the production team, in addition to running a portfolio of production jobs (when required)

●     Optimising end-to-end project management for the team including budget creation and management, schedule creation and management, execution  and delivery of the project, and final invoicing and debrief with the client

●     Ensure that projects handled by the production team go smoothly and clients experience a seamless service from ICHI.  Each job should be delivered on time and on budget with the projected profit calculated prior to a budget being sent to a client.  All extras should be cleared with a client before commencement including a PO being issued

●     Attending briefings with clients in order to extract the necessary information to relay to ICHI’s creative team by way of the ICHI briefing document so they can develop a creative proposal●      Be continuously up to date with emerging softwares / trends / communication channels where relevant to the company and our clients.

●     Ensure that hard costs on every project do not exceed more than the defined gross budget unless cleared with the Managing Director

●     Deliver reports detailing jobs, profit margins, and any issues that need to be raised

●     Build a strong, proactive and efficient team, hiring staff that can deliver to an exceptional standard

●     Devise and implement ways to streamline ICHI’s project workflow and management.  Ensure the production team utilises tech and tools including project management software, PO’s for purchases, quote building and budgets, invoices, and scheduling software to manage the team’s time

●     Build a relationship with a roster of freelancers that ICHI can utilise for jobs, that extend on or plug gaps in our permanent team

●     Coordinate communication, requests and project requirements with clients, either direct or via the account handling team

●     Effectively time manage yourself and manage projects which have tight deadlines by communicating with the correct members of staff and seeking advice from senior creatives on best practise.

●     Define and manage all business continuity policies / procedures, ensuring your team are educated and processes are embedded into the company

OPERATIONAL RESPONSIBILITIES

●     Work with the executive team to set operational goals for the company and drive the successful execution that aligns with business strategy and enhances profitability

●     Oversee and manage project budget, cost of sale and OPEX spend to ensure there is no increased expenditure outside of approved budget

●     Responsible for ensuring we have the best possible tech set up to meet our needs and anticipating / adapting them to suit our growth

●     Lead the WIP reporting , liaising with Keywords Finance, ICHI Studio Head and Managing Director

●     Work with the Managing Director to report on the monthly / yearly financial progress of ICHI - providing commentary and insights to help ensure successful planning for the future

●     Supervise all daily operational activities such as schedule & resource (internal and external) management 

●     Ensure all company policies are being followed

●     Coordinate staff safeguarding activities to ensure retainment through opportunities, motivation and reward - e.g performance reviews, training, wellbeing allowance, time off

●     Develop and grow our resource network covering freelancers, perm staff and partners

●     Devise and implement ways of working / technological changes that will boost company efficiencies

SKILLS AND EXPERIENCE
  • 5+ years of working in an agency environment in a production role

  • Experience working within youth entertainment brands or gaming  brands an added advantage

  • Demonstrate strong soft skills - excellent communication skills, collaborative problem solving attitude, and a track record of building good team and client relationships

  • Flexible, adaptable to change and moves at speed with clients

  • Comfortable interacting with senior level clients and team members

YOUR ROLE AT ICHI

As Senior Producer you will work with the production team and creative department to ensure successful delivery of work across ICHI’s clients for all Production jobs.

You will continually seek ways to improve the delivery of projects by implementing new processes and ways of working, ensuring a streamlined, effective approach that allows for flexibility and the delivery of the best creative product. YOUR ROLE AT ICHI

The role of Producer is key in supporting the Production Department to lead and grow the business, through high quality creative execution and outstanding customer service, both of which contribute to repeat client work.

As part of the ICHI team, you will be one of the main points of contact for clients, producing and delivering creative campaigns that meet our clients’ expectations at every level, as well as delivering on time and on budget. In addition, you are responsible for planning and scheduling the workflow through the studio, ensuring that all creatives and editors are clear on what they should be working on and achieving each day.

The Producer understands and supports clients with the strategic vision and assists in translating those into actionable creative briefings. Working within the Production Department, you identify and instigate outbound repeat business activities ensuring relationships grow through successful engagement techniques.

With the ICHI company model being highly collaborative and teamwork-driven, you will experience a range of responsibilities including assisting with improving ICHI’s own Marketing and PR and supporting New Business with pitch management.

THE NUTS AND BOLTS
TOPLINE

●     Drive commercial growth of all repeat business thereby supporting company revenue targets

●     Building strong client relationships at the highest level, being a trusted voice

●     Develop a keen eye for detail throughout all areas of work and when providing quality assurance for client-facing assets

●     Oversee and manage the execution of digital production at ICHI whilst also educating the wider team on unique processes pulling from your own experience and knowledge

WORKLOAD / TEAM MANAGEMENT

●     Actively participate in the weekly production meeting, reporting on project(s) status and workload.

●     Manage ICHI’s projects and pitches in the scheduling system to help identify busy periods and pencilling cover with freelancers where required.

●     Source, interview and book freelance staff as required to work on projects within the creative, edit, vfx, shoot, or production teams, based on assigned budget. Also build relationships with these people so that they can be called on in busy periods. Manage freelancers effectively whilst here and arrange timesheets.

●     Ensure all freelance & supplier information is inputted into the project management system & is up to date.

●     Ensure job folders are set-up correctly, and that all work/assets are being saved in the correct places to ensure a smooth flow of information and work throughout any project. 

●     Work with and help train junior members of staff, including delegating appropriate project based tasks and checking in/overseeing them on a daily basis.

●     Foster a productive and empowering working environment.

PROJECT MANAGEMENT / PRODUCTION

●     Attend client briefing meetings to collate notes and ensure the team are fully briefed on the requirements.Effectively produce from start to delivery each assigned project including budget and schedule creation and management, cost control and projections, using the internal scheduling system.

●     Ensure all projects adhere to the agreed workflow with the client and help educate the client on the ICHI process before issues arise.

●     Assist in the proposal process for repeat business pitches, including writing portions of the proposal, pricing or review of the proposal.

●     Work together with the lead Creatives throughout each project, ensuring client and creative expectations are met, and the project is delivered both on time and on budget.

●     Identifying and sourcing stock and licensed music, imagery and footage based on creative and client briefs within the assigned budget.

●     Proof read / QC assets as required, to help ensure any mistakes and technical issues are eliminated before delivery and high standards of work are being met.

●     Review all decks to ensure they answer the client brief and provide feedback to the creative team on areas for improvement (if required).

●     Abide by all governing and clearance body rules and regulations, ensuring all assets are delivered at required specs with required clearance (such as Clearcast or BBFC) and abide by all rules upon final delivery.

●     Traffic assets as required per project and liaising with trafficking companies on deadlines and rates.

●     Archive jobs after project delivery (working with Creatives and Account Directors/Managers to ensure all required assets on ICHI/client side are saved).

●     Liaise with Account Directors/Managers to ensure all PO’s are received and payments are made by clients on dates required to ensure effective project cash flow, and ensure all extras are signed off by client before charges are incurred by ICHI.

●     Provide accounts with cash flow projections, and advise on any payment terms (client or supplier) falling outside of ICHI’s standard terms that may affect this.

YOUR ROLE AT ICHI

The Production Assistant is responsible for supporting the Production team in the producing and delivering of creative campaigns. Through their support, ICHI is able to over-deliver on our clients expectations at every level, whilst helping ensure they are created on time and on budget.

The Production Assistant will inspire an atmosphere of best practice sharing amongst the team, ensure high standards of professionalism are adhered to and maintain a positive culture at ICHI.

THE NUTS AND BOLTS

●     Helping source and book freelance staff as required to work on projects within the creative, edit, vfx, shoot, or production teams, based on assigned budget.

●     Helping on shoots as required, including production driving and running, assisting with location scouting, casting, sourcing crew and equipment, and organising meetings and travel – all within assigned budgets where required.

●     Helping source and book VO artists with required usage, based on creative and client briefs within the assigned budget.

●     Helping identify and source stock and licensed music, imagery and footage based on creative and client briefs within the assigned budget.

●     Ensure all freelance and supplier contact information is inputted into the project management system and is up to date.

●     Negotiating on rates, including extended booking period costs and payment terms where possible.

●     Ensuring all freelance staff have signed contributor agreements and NDA’s, and that these documents are filed in the appropriate places on the server.

●     Attending resources meetings, and helping ensure that all bookings into the project management system are updated and correct after these meetings and continually throughout the week as any schedules change for current and future projects.

●     Helping ensure creatives have all required information in their bookings, and are aware of tasks that need to be completed.

●     Ensuring that all creatives, accounts and production staff have time reported correctly into the project management system for all jobs they were booked on that week..

●     Helping book in meetings with accounts, production and creatives as required, and organising any refreshments as required.

●     Proof reading / viewing assets as required, to help ensure any mistakes and technical issues are eliminated before delivery and high standards of work are being met.

●     Setting up and uploading/downloading any project assets from both internal and client FTP’s.

●     Purchasing hard drives as required for both project and internal use.

●     Organising couriers or postage for both projects and internal requirements, ensuring cost effectiveness on all means of delivery.

●     Helping ensure all freelancer invoices received have the required PO numbers quoted, as well as the standard invoice requirements including ichi’s minimum payment terms of 30 days, and if not flagging to the relevant producer or account manager/director. Once checked, these invoices should then be handed to the relevant project lead for signing before being passed to accounts.

●     Helping archive jobs after project delivery. This includes booking in resources to prep project folders, ensuring any agreed assets clients require are saved and/or delivered to client by appropriate means, and saving to the ichi archives any assets creative and production leads request to be saved for internal purposes.

●     Helping keep on top of server space / requesting staff to clear drop boxes.

●     Assisting the accounts and production departments with any travel bookings required, using ichi preferred suppliers where possible to ensure cost efficiency wherever possible.

●     Ordering office equipment & kitchen supplies from preferred suppliers as required, whilst keeping within the weekly/monthly budget allowance unless otherwise necessary and agreed by your line manager.

●     Reconciling office petty cash at the end of each month, and shoot petty cash at the end of each shoot.

●     Day to day administrative and general office duties as required.

SKILLS AND EXPERIENCE
  • Experience working in a production/marketing/agency environment

YOUR ROLE AT ICHI

 As an ICHI Design Developer, you will help define and create all digital output for the agency, from website/microsite development to online advertising and app development.

 An integral member of the creative department, you will assist with research, ideation, and execution of digital assets, working closely with the Senior Designer and Creative Directors (as well as Motion, Design, and Production departments) to develop creative that delivers on strategy and meets client objectives.

 Working within the visually diverse entertainment sector requires expert ability, versatility, and a keen awareness of market trends and digital innovation. These attributes are combined with outstanding creativity and acute attention to detail to ensure quality and consistency across all projects.

 As part of the ICHI team, you’ll have the opportunity to build your skills within a supportive, collaborative environment. ●      Assist with creative conceptualisation of client campaigns, and deliverables across design and digital.


●      Ensure ICHI's high standard of work is executed with the day-to-day support of the Senior Designer.

●      Use existing knowledge of creative trends to inform decision making when creating designs for digital, yet keeping in mind the overall creative direction of the asset to maintain consistency throughout the campaign.

●      Receive and respond to briefs, ensuring the development of innovative and compelling creative concepts that meet the client requirements.

●      Be continuously up to date with emerging softwares / trends / communication channels where relevant to the company and our clients.

●      Be able to execute creative design across a multiple number of digital mediums, covering website/microsite development, online advertising and app development.

●      Fluent in digital languages such as JavaScript, CSS and HTML.

●      Have a clear and genuine knowledge of technology and digital tools and can demonstrate a full understanding of the structure of web, app and other digital projects.

●      Communicate effectively with senior team members in order to receive feedback, allowing for efficient and effective project development - and be able to explain technical jargon to peers and clients

●      Communicate and present concepts and information in a concise and professional manner whether in a verbal, written or visual context.

YOUR ROLE AT ICHI

As a Designer at ICHI, you will help define and create all visual output for the agency, from trailers and social content to branding and 360 marketing campaigns.

ICHI design is meticulously crafted and always accountable: You will work closely with the Senior Designer and Creative Directors (as well as Motion, Design, Digital, and Production departments) to produce work that delivers on strategy and meets client objectives.

You will assist with research, ideation, and concept execution across all media, including design for digital, moving image, and print, within the visually diverse entertainment sector. Consistently delivering to the highest standards requires expert ability, versatility, and a keen awareness of market trends, combined with outstanding creativity and acute attention to detail.

As a member of the ICHI creative department, you’ll have the opportunity to build your skills within a supportive, collaborative environment. THE NUTS AND BOLTS

●      Assist with creative conceptualisation of client campaigns, and deliverables across all media and disciplines including design for digital, moving image and print.

●      Ensure ICHI's high standard of work is executed with the day-to-day support of the Senior Designer.

●      Use existing knowledge of creative trends to inform decision making when creating designs, yet keeping in mind the overall creative direction of the asset to maintain consistency throughout the campaign.

●      Receive and respond to briefs, ensuring the development of innovative and compelling creative concepts that meet the client requirements.

●      Be continuously up to date with emerging trends / communication channels where relevant to the company and our clients.

●      Communicate effectively with senior team members in order to receive feedback, allowing for efficient and effective project development.

●      Communicate and present concepts and information in a concise and professional manner whether in a verbal, written or visual context.

●      Develop a keen eye for detail throughout all areas of work and when finishing and finalising assets and files for client delivery.

●      Effectively time manage yourself and manage projects which have tight deadlines by communicating with the correct members of staff and seeking advice from senior creatives on best practise.

●      Work alongside the Senior Designer and all internal departments (Motion, Design, Digital, Production) to ensure high quality, effective output.

●      Report back at regular intervals on progress of projects to the Senior Designer.

●      Carrying out research and collating information to devise all creative from a strategic and brand aligned perspective.

●      Adhere to existing brand style guidelines within all projects.

●      Ensure all completed projects are consolidated and archived in the appropriate place.

●      Develop a strong understanding of the ICHI brand and also the brands/clients we work with in order to output effective creative.

●      Contribute to and help drive the creative identity and vision of the company.

●      Effectively time manage yourself and maintain hitting deadlines.

●      Constantly report back on progress of projects to ICHI’s Senior Designer and (when required) ICHI’s Executive Creative Director.

●      When required work as a team with, Photographers, Illustrators, other Designers, Account Managers, Website Designers and Marketing Specialists, TV Producers and Directors.

SKILLS & EXPERIENCE

●      3+ years of working in an agency/production/marketing environment in a design role

●      A strong portfolio including work within the gaming/entertainment/youth brand sector

●      A keen eye for detail throughout all areas of work, able to follow brand guidelines, and deliver faultless design files

●      A critical, highly considered approach to design with the ability to stay on brief and effectively respond to client objectives

●      Excellent written and verbal skills, able to communicate and present design concepts in a concise and professional manner

●      Self-motivated with strong time management skills

●      Be up to date with emerging trends/communication channels

●      Advanced skills in Adobe Creative Suite

●      Knowledge of Office and Google suite applications with general computer efficiency

Studio Intern

OVERVIEW

As part of the ICHI team, your role will be to support the Operations and Production Teams in organising the creative studio and managing client accounts. You will help to ensure the studio is running efficiently and that project schedules are maintained with appropriate resources booked.  You will provide support in ensuring all projects are delivered to clients in an efficient and timely manner, assisting with production based documentation and research.  You will be expected to maintain the professionalism and quality of the ICHI brand both internally and externally at all times. With the ICHI company model being highly collaborative and teamwork-driven, you will likely experience a range of responsibilities within the agency, and will be expected to assist with various projects and work where required. This will help with your development and give you the opportunity to gain a wide range of skills whilst working at ICHI.

MAIN RESPONSIBILITIES

●      Assist with scheduling for the studio by working closely with the Junior Resource Manager. This includes

○      managing the studio’s diaries

○      helping to book freelancers and/or crew

●      Liaising with third parties over permissions and creative instruction.

●      Assist with the creation of and update to all ICHI marketing platforms (e.g. website, social channels, creds presentations) by working closely with the Junior Resource Manager and required resources.

●      Support all internal based projects, ensuring resources are booked correctly and the schedule is executed accurately.

●      Researching key industry news and new platforms in order to disseminate that information clearly and concisely to the production team.

●      Helping with the creation and collation of project based financial documentation, legal contracts, and schedules.

●      Assist in ensuring all supplier documentation, e.g. NDAs, Independent Contractor Agreements, are up to date and signed by all third parties.

●      Assist with all production based documentation, e.g. call sheets, risk assessments.

●      Assist with the growth and development of ICHI’s resource network including our freelance database, ensuring it is up-to-date and relevant based on the services we provide and the ones we are planning on moving towards.

●      Assist in ensuring that ICHI based servers are organised, master files are backed up / correctly labelled and that Production stays on top of returning client assets at the end of projects.

●      Attend client meetings and brief and take useful, concise notes that can be relayed to other members of staff.

●      Communicate effectively and politely with internal members of staff and clients at all times.

●      Develop a keen eye for detail throughout all areas of work and when providing quality assurance for client-facing assets.

MAIN REQUIREMENTS
